WHY WE NEED HRIS?


Human resources information systems have evolved since the 1980s from relatively simple computer applications to virtual vaults of sophisticated human resources information and processes. An HRIS is used for employment actions such as applicant tracking, performance management, attendance, compensation and benefits management, work force analyses, and scheduling. Information System can be defined as a system, whether automated or manual, that comprises people, machines, and/or methods organized to collect, process, transmit, and disseminate data that represent user information.

There are several advantages of having a sophisticated HRIS. An HRIS monitored by qualified specialists who know technology and HR functional and tactical processes can manage compliance with federal and state laws, streamline processes for recruitment and selection, and produce analyses, data and reports for internal and external use. Other advantages of an HRIS include the ease of use for qualification computer technology specialists, accuracy of information and the ability to perform HR audits using any combination of parameters.

COMPETITIVE ADVANTAGES


A competitive advantage is an advantage that a firm has over its competitors, allowing it to generate greater sales or margins and/or retains more customers than its competitors. In order to succeed, a business must develop strategies to counter this forces which is rivalry of competitors within its industry, new entrants into an industry and its market, substitute products that may capture market share, bargaining power of customers and bargaining power of suppliers.

  • The organization must be sensitive to bargaining power of suppliers who can increase prices or force the organization to pay more attention to the supplier’s needs than to organization’s needs. For example, China is one of the suppliers that supplies almost 97 percent of the raw material to produce a product. But if China blocked export the raw materials to Japan, automatically the cost of raw material was increased. Therefore, Toyota must find the ways to reduce the dependency toward China.
  • The organization must be sensitive to bargaining power of customers. Toyota cannot stop to produce their product because it becomes more popular and demanding. The gasoline-electric cars have been in high demand in European countries, United States and also Japan.
  • The organization must be sensitive to the threat of new firms entering into an industry. For example, Tesla Company is a one of the electric car manufacturer that produces hybrid cars in United States. It was founded in 2003.
  • The organization must be sensitive to the threat of new products or services that can replace existing offerings. Tesla Motors will launch it new model which is Model S, the first premium sedan to be built from the ground up as an electric vehicle, goes on the market in mid-2012.
  • The organization must be sensitive to rivalry among existing competitors. Ford Motor Company, General Motors Corporation, Honda Motor Co. Ltd are principal competitors of Toyota.

After the company knows the competitive force that they faced, now the company can overcome all of the forces based on these competitive strategies. There are five competitive forces that include cost leadership, differentiation strategy, innovation strategy, growth strategy and alliance strategy. For cost leadership, Toyota vision is being a company respected worldwide for producing the highest quality vehicles at the lower price in order to gain the customer’s satisfaction.

Multinational Models 

A multinational company is a corporation or an enterprise that manages production or delivers services in more than one country. Multinational companies have investment in other countries but do not have coordinate products and service to each individual local market. Sime Darby is Malaysia-based diversified multinational involved in key growth sectors, namely plantation, motors, property, industrial equipment and energy and utilities with health care as a growing business.
 
Global Models
Global companies have invested and are present in many countries. They market their products through the use of the same coordinated image/brand in all markets. Generally one corporate office that is responsible for global strategy. It emphasize on volume, cost management and efficiency. For instance, KFC Corporation is the world’s most popular chicken restaurant chain. KFC operates more than 5,200 restaurants in the United States and more than 15,000 units around the world. KFC is world famous for its Original Recipe fried chicken made with the same secret blend of 11 herbs and spices Colonel Harland Sanders perfected more than a half-century ago. Customers around the globe also enjoy more 300 other products from Kentucky Grilled Chicken in the United States to a salmon sandwich in Japan.

International Models
IKEA is a privately held, international home products company that designs and sells ready-to-assemble furniture such as beds and desks, appliances and home accessories. At the end of 2009 financial year, the IKEA group had 267 stores in 25 countries. Food restaurants and food markets, IKEA has many stores include restaurant serve traditional Swedish food include potatoes with Swedish meatballs, cream sauce and lingonberry jam, although there are variations. in Kuala Lumpur, Malaysia the usual boiled potatoes have been switched to french fries. Besides these Swedish staples, hot dogs and drinks are sold, along with the few varieties of  local cuisine and beverages.

SUMMARY


As the company expands, keeping track of it human resources requirements can become difficult. Even a relatively small workforce can present a number of logistical problems, particularly when it comes to the administration of things like benefits, sick leave, promotions and so on. Thankfully technology has provided a potential answer. An HRIS generally should provide the capability to more effectively plan, control, and manage HR costs, achieve improved efficiency and quality in HR decision making, and improve employee and managerial productivity and effectiveness.

Michael Porter defines an organization’s task environment by five competitive forces which is supplier power, buyer power, threats or substitutes, threats of entry, and rivalry among competitors. All of this competitive force will overcome by implement several competitive strategies which are cost leadership, differentiation strategy, innovation strategy, growth strategy and also alliance strategy.

There are four types of organizational models that the organizations implement which is multinational model, global model, international model and also transnational model. Multinational model takes a responsive approach to implementing and managing HRIS by being sensitive to local and regional differences. The examples of the organization that use this model are, PROTON, Sime Darby, Toyota Motors Corporation and DELL. Global model takes an efficiency approach to implementing and managing HRIS by building a single, standardized centralized system to their organization for example KFC. For international model, it takes learning and sharing approach to implementing and managing HRIS by transferring and adapting knowledge and expertise to local organizations while continuing to retain considerable influence and control over the local organizations.
